Inviting Parents to Your Wisr Virtual Communities

Workstream to Welcome Parents to Wisr:

  1. Slate Captains should build a query that includes all parents to be invited to the site. This file must include:
    1. First Name
    2. Last Name
    3. Email Address
    4. Unique ID*
      1. This must be different than the student ID being stored in Wisr
        1. Best Practice Recommendation: please use the 32 character GUID for the parents
    5. Member Type:
      1. Important: The Member Type must match the Member Type in the Wisr app
      2. Example: if the Member Type in the Wisr App is listed as “Parent/Family Member”, the query must return the string “Parent/Family Member” (case sensitive).
      3. Please reach-out to your Wisr point of contact with questions regarding the member type configuration.
  2. Slate Captains should use the following settings
    1. Navigate to Schedule Export:
      1. Status: Inactive (this will not be active on a recurring basis)
      2. Destination: Custom File Transfer Connection: sftp:// User-ID@sftp.wisr.io 
        1. IMPORTANT: The User-ID matches the User ID in the Outgoing Service Account (Remote) previously created. Please make sure the User-ID matches. 
      3. Path: /incoming/pre-verified-parent_family-your_school_name-%FT%T.csv Please enter your school name in the path.
      4. Encryption: Secure Transfer 
      5. Notification: Failures Only 
      6. Notification Email: Insert an Active Email Address 
      7. Format: Delimited (tab-delimited, CSV, etc.) 
      8. Delimited: Comma (,) 
      9. Headers: Include Header Row 
      10. Text Qualifiers: Double Quotes (") 
      11. Line Endings:<Cr><Lf> 
      12. Encoding: Unicode: (utf-8) 
      13. Suppress Empty: Suppress Empty Files 
      14. Requested Delivery: Leave Blank 
        1. For now, leave this blank until full automation is built and completed by the Wisr engineering team
      15. Requested Weekdays: N/A

      16. Requested Priority: Normal
    2. Slate Captains should run the query to Wisr’s SFTP
    3. Wisr will process the file received
    4. The processed file will be placed into an Admin/Data Specific Community on the Wisr site.
    5. Upload the processed file into Slate as a one-time data job.
    6. Use the processed file as the recipient list in you mailing for your invitations.
    7. Send invitations at your desired time.

FAQ’s: 

  • Why aren’t you sending this back via SFTP?
    • Right now, Wisr is unable to effectively split Parent/Family Member pre-verifications from Student pre-verifications at scale. Therefore, the unique ID’s become an issue and has the potential to cause more confusion for our partners.
  • I don’t have access to the Wisr Communities/I don't know how to sign in- what should I do?
    • Please reach-out to your Program Lead to retrieve access to the community if you are not already in Wisr. Feel free to reach out to the Wisr team at adminsupport@wisr.io if you are unsure.
  • How frequent will the file be dropped into the community?
    • Best practice: Monday mornings, weekly.
